How can we break the cycle?
Buried under all the chaos are clues for each individuals strengths and weaknesses, personality type, preferences and sources of energy that makes you happy. Taking a deeper look into your preferences allows you to understand how to manage your time in the most effecient manner and break your current cycle.
What is your relationship with time?
To start, your relationship with time falls under 3 areas:
- What’s working and what’s not
- Your Time Management Preferences
- Your Energy Cycles and Sources
Discover what’s working with your current time management. This will allow you to recognize what’s working and fix the areas that need improvement.
Example: I am never late to client appointments and meeting deadlines is easy for me. I never have time for getting out the invoices and reconciling the accounts receivable.
What are your Time Preferences?
Sometimes we struggle with our time on tasks because it’s not our individual preference. Ask yourself your preferences – i.e. if you thrive in a fast paced environment, prefer to work alone or in a group, if you like tight deadlines or your preference is start on a project early. Do you like to focus on one thing vs. multi tasking? Whatever your preferences are make sure, when you are able, to incorporate them into your work.
Understanding not only your Time Preferences, but also your Energy Cycles will also help you manage your time. The ups and downs of your energy can have a profound effect on your to-do list. Energy is power which enables you to work toward your goals. Find out when your energy is most productive.
For example, mornings work best for me to concentrate on the numbers of my business. My head is clear and I am able to concentrate on the details best at the start of my day. Whereas the afternoon, I work better on creative projects where my energy is used differently.
Once you discover your preferences and what works put it down on paper and create a “default diary”. The default diary is your plan on how to best utilize your time. Mornings – review numbers, send out invoices. Afternoons – work on creative projects.
